# How to Connect a Mailbox

> Connect Gmail, Outlook or any IMAP/SMTP mailbox to send email steps and receive replies in the Inbox.

Mailboxes let your sequences send **email** steps, and bring email replies into the same Inbox as LinkedIn. You can connect as many as your plan allows.

  Only **Owners** and **Managers** can connect mailboxes.

## Supported mailboxes

| Provider        | How it connects                                    |
| --------------- | -------------------------------------------------- |
| **Gmail**       | Google Workspace or personal Gmail, through OAuth  |
| **Outlook**     | Microsoft 365 or Outlook.com, through OAuth        |
| **IMAP / SMTP** | Any other mailbox, using its IMAP and SMTP details |

## How to connect

1. Go to **Senders → Connect sender**.
2. Choose **Gmail**, **Outlook** or **IMAP / SMTP**, then click **Continue**.
3. Fill in the details:
   * **Client** (optional)
   * **Display name**, for example *[jane@acme.com](mailto:jane@acme.com)*
   * **Owner email**
   * **Timezone**
4. Click **Open hosted login**, or copy the link for the mailbox owner, and sign in. The link expires after 15 minutes.

The mailbox shows **Connecting** until sign-in is complete, then **Connected**.

## Mailbox limits

Mailboxes start at **warm-up level 3**, which allows **80 emails a day**. They can reach **120 a day** at level 5. The platform maximum is 150 emails a day per mailbox. Like LinkedIn senders, mailboxes only send during their working hours.

## Mailbox settings

Each mailbox has its own settings on its sender page:

| **Belongs to**                               | The LinkedIn sender who owns it. This is what makes "the sender's own mailboxes" a pool. Leave it empty for a shared mailbox. |
| **Signature**                                | HTML allowed. Use it as `{{sender.signature}}`.                                                                               |
| **BCC to CRM**                               | Copies every email to a CRM logging address                                                                                   |
| **Track opens and clicks on manual replies** | Off by default                                                                                                                |
| **Schedule**                                 | Its own working hours, separate from the LinkedIn sender's                                                                    |
| **Monthly cost**                             | Feeds the [Cost report](/reports/reports-overview)                                                                            |

## Using a mailbox in a sequence

1. Add the mailbox to the sequence's **Pool**, or pick it directly in the **Send email** step's **Mailbox** setting.
2. Add a **Send email** step and connect its three outcomes: **next**, **bounced** and **no email**.
3. Put `{{unsubscribe_link}}` in the body. The pre-launch check warns you if it's missing.

A sequence with a Send email step can't be activated until a mailbox is available.

A **pool** of mailboxes splits the volume evenly, and a contact emailed before always gets the same one again.

## Q: Does the Chrome extension work with mailboxes?

No, it isn't needed. Mailboxes stay connected through OAuth or their credentials.

## Q: What happens when someone unsubscribes?

One click on the `{{unsubscribe_link}}` — no login, no form — excludes them from all future outreach across the whole workspace, on every channel, and ends their live enrollments. Their lead shows an **Unsubscribed** badge, and the lead, timeline and conversation are all kept.
